Staff member did not receive the invitation

If a colleague cannot find the invitation email, these steps help identify the issue and send a new invitation if needed.

Invitation emails typically arrive within minutes. If a colleague cannot find it, work through the following steps in order.

1. Check the spam or junk folder

In most cases the email ends up in the Spam, Junk or Promotions folder. Ask the colleague to check there and mark the message as Not spam.

2. Check the invitation status in the dashboard

  1. Open Settings > Staff members.
  2. Click the affected staff member's profile.
  3. Check the invitation status in the Dashboard access section.
  4. If the status is Expired (sent more than 7 days ago), click Send new invitation.
InfoInvitation links are valid for 7 days. If the colleague did not accept in time, the link expires automatically — send a new invitation.

3. If the email address was wrong

  1. Open the staff member's profile in the dashboard.
  2. In the Dashboard access section, revoke the existing invitation.
  3. Send a new invitation to the correct email address.

If the colleague received the email but the link does not work, one of the following may be the cause:

  • Expired link — the invitation is older than 7 days. Send a new one.
  • Email address mismatch — the colleague is trying to sign in with a different email address than the one the invitation was sent to. The Bokko account must use the same email.
  • Email address not verified — the colleague's Bokko account email is not yet confirmed. They need to activate the confirmation link from their registration email first.
  • Already linked to another business — a Bokko account can only belong to one business at a time. If the colleague is already connected to a different business, they cannot accept.
TipIf the colleague is completely new to Bokko, they need to create an account at bokko.app and verify their email address first — only then can they accept an invitation.
