Adding and managing staff members

If you work as a team, each staff member can have their own profile, schedule and service list. This guide covers inviting colleagues, assigning roles and managing access.

If multiple people work in the business, you can create a separate profile for each staff member. Guests can then choose who they want to book with.

Invite a staff member

The invitation flow is email-based. You send the invite, the colleague registers from the link they receive, and then signs in to the dashboard with their own account.

  1. In the dashboard, open Staff members.
  2. Click + Invite staff member.
  3. Enter the colleague's name and email address.
  4. Choose the role: Admin or Staff member.
  5. Click Send invitation.
  6. The colleague receives an email with a registration link.
  7. They create their own account with a password or with Google sign-in.
  8. After registration, they can sign in to the dashboard with the access level of their assigned role.

How staff members sign in

Invited colleagues use the same dashboard sign-in page as the owner, but Bokko shows a restricted view based on their role. A staff member only sees their own calendar, bookings and profile. An admin sees more.

Roles: Owner, Admin and Staff member

  • Owner has full access, including subscription, billing, business profile, services, staff management, booking rules and account deletion.
  • Admin has broad operational access, but cannot manage the subscription, billing or account deletion.
  • Staff member has limited access to their own profile, working hours, calendar and bookings.
InfoAdmin access is available on the Pro plan. On lower plans, only the owner and basic staff member roles may be available.

Set working hours per staff member

  1. In the staff list, click the colleague's name.
  2. Open the Working hours tab.
  3. Set when they are available. Staff working hours must remain within the business opening hours.

Assign services

  1. In the staff profile, open the Services tab.
  2. Select which services the colleague provides.
  3. On the booking page, only staff members assigned to the service appear for that selection.

Remove a staff member

WarningBefore removing a staff member, make sure they do not have active future bookings assigned to them. Reassign or handle those bookings first.
  1. In the Staff members list, click the colleague's name.
  2. Click Remove.
  3. Confirm the action.
  4. The removed colleague can no longer sign in and will no longer appear on the booking page.
