Adding and managing staff members

Create staff profiles, assign services and schedule, then grant dashboard access with the right role when needed.

If multiple people work in the business, you can create a separate profile for each staff member. Guests can then choose who they want to book with, and you can optionally grant dashboard access to that person later.

Create the staff profile first

  1. In the dashboard, open Staff members.
  2. Click the add button to create a new team member profile.
  3. Enter the colleague's name, optional bio, calendar color and assignable services.
  4. Save the profile.

Grant dashboard access

Dashboard access is linked to an existing staff profile. The invitation flow is email-based: you send the invite from the staff profile, the colleague accepts it from the email link, then signs in with their own Bokko account.

  1. Open the colleague's staff profile.
  2. In the Dashboard access section, click Send invitation.
  3. Enter the email address and choose the role: Manager, Receptionist or Provider.
  4. The colleague receives an email link that stays valid for 7 days.
  5. After accepting the invitation, they sign in through the regular dashboard sign-in page with the permissions of their assigned role.

Roles: Owner, Manager, Receptionist and Provider

Bokko has four roles. The Owner is the person who created the business — there is exactly one per business.

  • Owner has full access, including billing, account reset or deletion, and ownership transfer.
  • Manager has broad operational access: team and location management, services, opening hours, integrations, and access to billing-related pages. Cannot delete the account, initiate refunds, or export the guest list.
  • Receptionist is a front-desk role: can manage bookings for any colleague, create and edit guests, and handle marketing consent. Cannot change business settings.
  • Provider is a narrow daily role: only their own bookings and own profile.

What can a Provider do?

  • Use their own profile and calendar for day-to-day work
  • View and manage their own bookings
  • Open the guest list in the dashboard
  • View their assigned services

Providers cannot change business settings, manage the team, change roles, or export the guest list.

Manager and Receptionist: when to use them

The Manager role is for colleagues who actively run the business — for example managers who need to see all staff calendars, handle incoming bookings and update services, opening hours or the team. The Receptionist role is optimised for front-desk work: booking management and guest editing yes, business-settings changes no.

Set schedule per staff member

  1. In the staff list, click the colleague's name.
  2. Use the Schedule button in the top bar.
  3. Set when they are available. Staff schedule should stay aligned with the business opening hours and any blocked slots you use.

Assign services

  1. Open the staff profile.
  2. Use the assignable services section on the form to select which services the colleague provides.
  3. On the booking page, only staff members assigned to the service appear for that selection.

Remove a staff member

WarningBefore removing a staff member, make sure they do not have active future bookings assigned to them. Reassign or handle those bookings first.
  1. Open the colleague profile.
  2. If they still have dashboard access, revoke it from the Dashboard access section.
  3. If you no longer want to book with them, deactivate the staff profile.
  4. If you need permanent cleanup after access is removed and future bookings are handled, use anonymization where available.
