Passes

With a pass the guest buys a package up front and spends it across several bookings. Four kinds are available: counted in sessions, in minutes, as a prepaid balance, or covering a period. Available from the Pro plan.

A pass is the returning guest’s arrangement: the guest pays for a package up front and spends it across several bookings. In Bokko a pass is spent when you accept the booking, comes back when the booking is cancelled in time, and both sides see the same balance.

InfoPasses are available from the Pro plan. There is no separate switch to turn on: the feature starts with your first pass template.

A template and an issued pass are two different things

The template is what you sell: it describes what the guest gets and for how much. An issued pass is one guest’s copy of that template. You set a template up once, and the daily work is two clicks from the guest’s profile.

WarningA template’s kind and amounts cannot be changed after saving. An issued pass carries a frozen copy of them, so rewriting the template would make it ambiguous what the guest actually bought. Create a new template for a different setup.

The four kinds

  • Counted in sessions — for example a 10-session massage pass. One booking spends one session, however long it is.
  • Counted in minutes — for example a 600-minute tanning pass. A booking spends the service’s duration in minutes: a 12-minute session spends 12.
  • Prepaid balance — for example a 50,000 HUF card. The booking total is taken from the balance, and partial cover is possible: whatever does not fit stays payable.
  • Covering a period — for example a monthly pass. It does not run out: each period the allowance you set is available again (or unlimited, if you leave it empty).
InfoSession- and period-based passes apply to a single-service booking. If the guest chains several services into one booking, cover it with a prepaid-balance pass.

Creating a template

  1. In the dashboard open Passes, then Pass templates.
  2. Click New template.
  3. Enter the Pass name — this is what appears on the guest’s profile and on the booking.
  4. Choose what the guest gets: sessions, minutes, a prepaid balance, or a period.
  5. Fill in the amount and the Price. Validity is given in days; leave it empty for no expiry.
  6. Under What can it be used for? decide whether it covers any service or only selected ones.
  7. Press Save.

Archiving a template

When you stop selling an arrangement, archive its template. No new passes can be issued from an archived template, while passes already issued stay valid and usable.
