Automatic acceptance per service

How Bokko can accept appointment requests based on your rule, when a request still waits for your decision, and when no request is created.

In Bokko a guest always requests an appointment — this is not instant booking. By default you decide on every request. Per service, however, you can set in advance that Bokko accepts requests automatically: the acceptance is then recorded by the system based on the rule you set.

Turning it on

  1. Open Services and select the service.
  2. In the Accepting appointment requests section choose Automatic.
  3. Save the service. An “Automatic acceptance” label then marks it in the service list.

What happens to a request?

  • Accepted: when automatic acceptance can be carried out, Bokko records your acceptance right away. The guest sees the accepted appointment and receives a single confirmation email; you receive a notification and an email.
  • Waits for your decision: if automatic acceptance cannot be carried out but the request can still be validly forwarded, the request waits in Requests as usual. You can see on the request why automatic acceptance did not happen.
  • No request: if the requested time is no longer available (for example someone else just took it), no request is created and the guest picks another time — the details they entered are kept.

When does a request still wait for your decision?

  • The request contains several services and not all of them are set to automatic acceptance.
  • Automatic acceptance is not available in your current plan.
  • Automatic acceptance is temporarily paused.
  • You have reached the monthly limit of accepted bookings.
  • The staff member's external calendar (Google or Microsoft) could not be checked, or its settings changed while the request was processed.
  • For a service with a deposit, deposit collection could not be activated.

In these cases the request stays valid — only the automatic acceptance does not happen. The guest does not see the reasons.

Services with a deposit

For a service with a deposit, automatic acceptance also starts the deposit payment: the guest receives the payment link and the deadline in the confirmation email and on the accepted page. If deposit collection cannot be activated, the request waits for your decision.

What does the guest see?

A discreet “Automatic acceptance” label in the service picker, and a short notice before sending, tell the guest that the provider set automatic acceptance for this service. The send button stays “Send request”.
