Group sessions

A group session lets several guests sign up for the same time slot — a class, a workshop, a course. How to create a group service and individual sessions, and how to manage sign-ups.

A group session is a time slot several guests can sign up for individually, up to a set capacity — a yoga class, a workshop, a course. Unlike an individual booking, one guest does not take the whole slot; several guests fill the seats.

InfoGroup sessions are available from the Pro plan. On a lower plan Bokko shows an upgrade screen instead of the Group sessions page.

Two layers: service first, then session

Group work has two layers, and the order matters:

  • A group service — created on the Services screen in "Group session" mode. This is where you set the duration, the price and the capacity.
  • An individual session — added on the Group sessions screen with a date and time, based on that service.
WarningUntil you have at least one service in "Group session" mode, you cannot create a session — Bokko says so explicitly. You also need at least one active staff member assigned to that service.

Creating a session

  1. Open Group sessions in the left menu.
  2. Click Create session.
  3. Pick the Service. The list shows the duration and the number of seats next to the name.
  4. Pick the Staff member running the session.
  5. Set the date and the time — both are required.
  6. Check the Capacity (2..100) field — it must be a whole number between 2 and 100. It defaults to the number of seats set on the service.
  7. Click Create.

Managing sign-ups

Guests sign up from the public booking page, one at a time. Each sign-up is a separate request that you accept — exactly like an individual appointment.

  1. Open the session from the list — Session details appear on the right.
  2. Click Accept or Decline on each sign-up.
  3. The header keeps showing occupancy: how many seats are taken, how many are confirmed and how many are pending.
TipThe pending counter on the session card shows how many sign-ups still await your decision. Once a session is full, no further seats are offered for it on the booking page.

Cancelling a session

  1. Open the session and choose Cancel session.
  2. Optionally give a reason (for example "instructor got sick").
  3. Confirm the cancellation.
WarningCancelling affects every participant: they are all notified and their bookings become invalid automatically. The action cannot be undone — if you run the session after all, create a new one.

With many participants, cancellation is not instant: Bokko shows the progress while it notifies participants. The session stays in Cancelling state until it finishes, then becomes Cancelled.

Good to know

  • From the guest’s point of view a group session is booked separately — it cannot be chained with other services into one booking.
  • Session- and period-based passes apply to single-service bookings; the same holds for group sessions.
  • Capacity is set on the service, but you can also see and check it on each session.
