If waitlist is enabled in Booking rules and available on your current plan, guests can join the waitlist from the public booking flow when they cannot find a suitable slot. In the dashboard, you manage those entries from the separate Waitlist page.
Where can I find the waitlist?
- Open the Waitlist page in the dashboard.
- Use the Active tab for open entries that still need action.
- Use the Closed tab to review entries that were fulfilled, cancelled by the guest, removed by you, or expired.
What an entry contains
| Field | What it shows |
|---|---|
| Guest name and email | Who joined the waitlist |
| Service | Which service the guest is waiting for |
| Preferred period | The date or date range the guest selected |
| Joined at | When the guest joined the waitlist |
| Notification count | How many availability emails Bokko has already sent for this entry |
How guests join the waitlist
Guests can join the waitlist from the public booking flow when no suitable slot is available. Name and email address are required, phone number is optional, and the guest selects a preferred date or date range.
Notify, Close and Remove
- Use Notify if you want Bokko to send an availability email for that active entry.
- Use Close when the waitlist item has been fulfilled and you want to move it out of the active queue.
- Use Remove if you want to close the active entry from your side without marking it fulfilled.
When a slot is freed for the same service and date range, Bokko can also notify the first matching active waitlist entry automatically. Notification attempts are counted on the waitlist card.
How entries leave the active tab
- You close the entry as fulfilled.
- You remove the entry manually.
- The guest cancels from the link they received in the confirmation email.
- The entry expires according to your waitlist policy.
