Setting booking rules

Booking rules control when guests can book, what they can do on their own, whether a deposit applies, and which additional conditions guests accept when booking.

You set booking rules once and Bokko applies them automatically to every new booking. The page is split into four cards, plus an additional conditions section.

Where to find it

  1. In the left menu of the dashboard, open Booking rules.
InfoBooking rules currently apply to all locations. You cannot set different rules per location.

Timing

SettingWhat it meansExample
Minimum advance booking timeHow close to the appointment a guest can still book.At least 2 hours before
Maximum advance booking timeHow far ahead guests can book.30 or 60 days ahead
Cancellation windowHow long before the appointment guests can cancel. At least 24 hours before

What can guests do?

  • Guest cancellation — guests can cancel their confirmed appointment themselves, within the cancellation window.
  • Guest rescheduling — guests can request a different time. You still have to accept the reschedule request.

The two switches are independent, so you can allow one without the other.

No-shows and payments

  • Deposit (Pro) — a fixed or percentage deposit. You can add a short Deposit description that guests will see.
  • Record no-show history (Pro) — Bokko remembers when a guest did not show up.
  • Automatic blocking (Pro) — after a number of no-shows you choose, the system blocks the guest automatically.
  • No-show fee (Pro) — an amount disclosed to guests in the booking conditions on your booking page.
WarningTo enable deposits you must first connect a working invoicing provider (Billingo or Számlázz.hu). Online deposits cannot be collected without one, and the switch will not take effect.
WarningDeposits and the no-show fee are mutually exclusive. If a deposit is required, the no-show fee cannot be set — Bokko shows "Not available when deposit is required".

Setting a no-show fee means guests are informed about it in your booking conditions. Charging it automatically requires card guarantee (the guest saves a card when booking), which is a Business-level feature and is not part of the current self-serve Starter and Pro plans. Without it, you have to collect the fee yourself.

InfoIf a payment-related feature is temporarily inactive on the platform, Bokko shows a banner: "Your settings are saved but not in effect." Your configuration is kept, it simply does not apply yet.

Waitlist

The waitlist (Pro) lets guests sign up when no slot is available. You can set the sign-up expiry between 1 and 90 days; the default is 30 days.

Additional booking conditions

These are conditions the guest accepts at booking. They are not free text: you pick from Bokko-curated templates that are already translated into every guest language, and you only fill in the parameters (minutes, days).

  • Late arrival — after how many minutes of delay a new appointment may be needed.
  • Documents — documents the guest should bring.
  • Payment — on-site payment and card guarantee.
  • Service conditions — the conditions under which the service can be performed, and the guest's duty to disclose relevant circumstances.
  • Companions and pets — restrictions on companions or pets.
  • Conduct — for example, recording only with consent.
  • No-show — recording a no-show, and the nature of the no-show fee.

You can add up to 8 conditions. If you pick a document or service condition, Bokko reminds you to spell out what you mean under Important info — otherwise the condition is hard to rely on in a dispute.

When do changes take effect?

Guests accept the conditions that are current at the moment they book, and Bokko records both the time of acceptance and the settings in effect. That is why rule changes only apply to bookings made afterwards — existing confirmed bookings keep the rules they were booked under.

WarningAfter changing a deposit or an additional condition, check your booking page: these appear immediately in the text guests read.
