Editing email templates

How to customize Bokko email templates, which emails you can edit, what fields can be overridden, and how preview and reset work.

Bokko lets you override selected parts of its outgoing email templates. This feature is available only when email template customization is enabled for your business.

Which templates you can edit

What you can customize

Each editable template has two override fields:

  • A custom subject
  • A custom intro text block

If both fields are left empty, Bokko does not save an empty override. Instead, it removes the custom template override and falls back to the default template.

Variables and placeholder chips

The editor shows placeholder chips that you can insert into the subject or intro text. The available placeholders depend on the selected template, but they are based on values such as guest name, business name, date, time and service.

WarningIf you type an unknown placeholder manually, Bokko warns you in the editor and can also show the same problem in the HTML preview warnings.

Preview options

The template editor has two preview layers:

  • A quick subject and intro preview with sample values
  • A full HTML preview that you can refresh manually

The HTML preview can be switched between desktop and mobile viewport sizes. Bokko renders the selected template with sample data and your current branding.

Decline responses — multiple variants

The decline template differs from the others: you can create several variants of it and pick which one goes out when you decline. That way you do not have to send the same neutral text for every decline.

  1. On the Email templates tab, open the Decline responses template.
  2. Click New variant.
  3. Give the variant a Name — this is internal, guests never see it. For example Fully booked or Sick day.
  4. Write the intro text (required), and optionally a custom subject line.
  5. Save it.
InfoYou can set up at most 10 variants. If you have none, the default message is sent when you decline.

When declining, you choose which variant the guest receives in the Email template variant field on the booking.

WarningDeleting a variant does not affect emails already sent — it only changes what you can pick next time.

Saving and resetting

  1. Open the email templates section in notifications.
  2. Choose the template you want to edit.
  3. Update the subject or intro text.
  4. Use preview if needed.
  5. Click Save.

Use Reset if you want to delete the custom override for that one template and return to Bokko's default wording.
