Completing a booking

An appointment that took place should be closed as Completed. This is where you set the final price, record how the payment was settled, and decide on the document.

Once the guest has been and the service is done, you close the booking as Completed. This is the last step of the booking lifecycle, and it sets several things in motion.

InfoCompletion is not a formality. Only completed bookings count towards revenue in Insights, the review request email only starts after completion, and pass or discount usage becomes final at this point.

How to complete a booking

  1. Open the booking in the Calendar or the Appointments list.
  2. Choose the Completed action.
  3. If the service has a variable price (From or Custom pricing), enter the Final price.
  4. If on-site payment recording is enabled, fill in the Payment settlement and Document sections.
  5. Confirm the completion.
TipThe Awaiting final price section in the Requests inbox collects exactly those completed bookings where the final price is still missing. Keeping it empty daily is worth it — otherwise your revenue statistics are incomplete.

Payment settlement

This section only appears if you enabled Record on-site payment at completion on the Business details screen. With it off, completion is a single click, and invoicing still works independently.

Reasons for No payment: Free service, Compensation, Test / admin, Closed without external settlement or Other. You can add a Note with any method.

WarningBokko does not handle cash flow and is not a POS. What you record here is your own bookkeeping and the document data — handling cash, the cash register and the card terminal remains your responsibility.
InfoPermissions: recording cash and on-site payment requires finance permission, which the Owner, Manager and Receptionist roles have. In the Provider role Bokko says so, leaving bank transfer or closing without payment.

Document

In the Document section you record what document was issued for the service. There are three options, but not all of them are available in every setup:

  • Issue an invoice with the invoicing software — issued by your connected Billingo or Számlázz.hu.
  • Issue a receipt with the invoicing software — the same, as a receipt.
  • External document issued — you issued it elsewhere. You can record the type (Cash-register receipt, External invoice, Other) and the External document number.
WarningIssuing receipts and invoices through the invoicing software during completion is being rolled out gradually. If it is not active for you yet, Bokko says so and you choose External document issued. This is not an error, and it does not affect the other functions of your connected invoicing provider.
InfoIf the receipt option cannot be chosen, Bokko tells you why: either no receipt issuer is configured (your invoicing provider is missing a receipt block or receipt prefix), or it is temporarily unavailable. You can fix the first case in the invoicing settings.

What completion sets in motion

  • The booking counts towards revenue in Insights — based on the final price.
  • If enabled, the review request email is scheduled (2 days later by default).
  • A redeemed pass session and promo code redemption become final — they are not returned for a completed booking.
  • The booking moves into Booking history and appears in the CSV export.
WarningCompleted is an end state: there is no way back to another status from it. If you got the price wrong you can fix that on the booking details, but you cannot revert the status.
